Visual Assets Use Policy
1. Purpose
To ensure all visual assets—including images and fonts—used by Rural IT and its clients comply with UK copyright law and licensing standards, protecting against infringement claims and maintaining professional integrity.
2. Liability
Rural IT takes reasonable steps to ensure that all images, fonts, and visual assets used in client projects are properly licensed or sourced from platforms that permit commercial use. However, Rural IT accepts no liability for copyright infringement, licensing disputes, or enforcement actions arising from assets used in good faith, including those believed to be royalty-free or client-supplied. Final responsibility for asset approval and usage lies with the client.
3. Image Sourcing
Rural IT will only use images that meet one of the following criteria:
- Licensed for commercial use (e.g. via paid stock libraries or open-source platforms)
- Provided directly by the client with written confirmation of ownership or usage rights
- Created in-house by Rural IT or commissioned from verified designers/photographers
- Sourced from reputable royalty-free platforms such as:
- Unsplash
- Pexels
- Pixabay
We do not use images found via general Google search or social media unless licensing is explicitly confirmed.
4. Font Licensing & Usage
To ensure compliance with font licensing laws:
- Rural IT uses Google Fonts by default, which are free for commercial use.
- If a client requests a specific non-Google font, we require:
- Written confirmation that the client owns or has licensed the font for commercial use
- Rural IT to purchase a separate licence for design use, with the cost passed on to the client
- Fonts sourced from free font sites (e.g. DaFont) will only be used if the licence explicitly allows commercial use and both parties hold valid licences.
We do not embed or distribute fonts without proper licensing.
5. Copyright Compliance
- All images and fonts used in websites, branding, and print materials will be vetted for licensing status.
- Rural IT retains proof of licence or usage rights for all assets used.
- Clients are responsible for confirming ownership or licensing of any assets they supply.
6. Third-Party Enforcement
- Rural IT is aware of enforcement agencies which monitor online image use on behalf of copyright holders.
- To protect clients, we proactively avoid use of images from agencies like Getty, Reuters, or AP unless properly licensed.
7. Record Keeping
- For each project, Rural IT maintains a record of image sources, font licences, and usage terms.
- Clients are encouraged to retain their own records for any assets they supply or request.
8. Updates & Reviews
This policy will be reviewed annually or when major changes in copyright or licensing practices occur.
